What integration considerations matter when moving from an HRIS to an HCM?

An HCM rarely replaces every system around your HRIS. The work is deciding which system owns which data, then rebuilding connections to payroll, identity, hiring and finance around that decision.

The quick answer: Six considerations matter most: the system of record for each data type, payroll in each country, identity and access provisioning, the API and event model, permissions for integration accounts, and migration of history. What decides the integration plan

Settle these six questions before comparing vendors.

1. Who owns each kind of data? Decide, field group by field group, which system is the source of truth; an HCM often absorbs talent, compensation and payroll data. HiBob positions Bob as that single source of truth across connected systems (HiBob integrations).

2. How does payroll connect in each country? Bob offers three patterns: native payroll in the US or UK, connected providers through the Payroll Hub with no-code setup wizards, or a hybrid of both (HiBob payroll).

3. Does access follow HR data? Joiner, mover and leaver events should create, change and remove accounts. Bob lists lifecycle-triggered updates, cross-platform provisioning workflows, and integrations with SSO, Slack and Google Workspace.

4. How and when does data move? Ask whether each connection is API-based or file-based and how often it syncs. Bob's integrations are primarily API-based, with some SFTP depending on the vendor, and most sync in real time or at lifecycle events. Its webhooks send events in order and retry failed deliveries more reliably (Bob webhooks).

5. What can integration accounts see? Bob's API service users authenticate with tokens, cannot log in, and start with no permissions until you add them to a permission group (API service users).

6. What history moves? Agree which job, pay and org history you migrate, and map fields before you load anything. Bob supports flexible data and attribute mapping.

Where HiBob fits — and where it doesn't

Choose HiBob when you are moving a mid-size, multi-country workforce off a basic HRIS and want to keep some local payroll providers. The Payroll Hub connects existing providers while native US and UK payroll can take over where it fits, so payroll does not have to change everywhere at once (HiBob payroll). If a connector does not exist, HiBob says you can build it with the public API or work with a marketplace partner (HiBob integrations).

Consider Workday instead when you are a large enterprise with complex ERP and finance flows. Workday Orchestrate provides thousands of public APIs and prepackaged connectors inside the platform, and Workday Extend builds custom apps that run natively (Workday).

Consider Rippling when app access is your heaviest integration load. Rippling lists more than 600 integrations, cascades field changes to connected apps through attribute mapping, and provisions and removes accounts automatically (Rippling integrations).

Check coverage. HiBob says the Payroll Hub works with several providers; ask for the list and match it to every country you pay in.

A worked example

Illustrative assumptions: a 600-person company in five countries is moving from an HRIS to Bob. It uses three payroll providers (one each for the US and the UK, and one for the other three countries), plus an ATS, an identity provider, an ERP and a BI tool.

  1. Inventory. Three payroll feeds plus ATS, identity, ERP and BI make seven connections.
  2. Simplify. Moving US and UK payroll to Bob's native payroll removes those two provider feeds: 7 − 2 = 5 connections to rebuild.
  3. Sequence. Connect identity first so new joiners get accounts, then the remaining payroll provider through the Payroll Hub if it is supported, then the ATS, ERP and BI feeds.
  4. Secure. Create one API service user per integration, each in a permission group limited to the fields it needs.
  5. Prove it. Run one payroll cycle in parallel and compare results before switching off the old HRIS feeds.

Checklist before you decide

  1. Write a data-ownership map. Name the system of record for people, org, compensation, pay results and time data.
  2. List every connection. Record the owner, direction, method (API, webhook or SFTP) and timing for each one.
  3. Confirm payroll country by country. Note which countries run natively, which connect through the hub and which need another route.
  4. Use least-privilege accounts. Give each integration its own service user and only the permissions it needs.
  5. Plan a parallel payroll cycle. Compare outputs from the old and new setups before cutover.
  6. Check data rules with an adviser. Data-protection and record-keeping obligations vary by country; confirm them with qualified advisers.

Common questions

What is the difference between an HRIS and an HCM?

In general, an HRIS centers on core employee records and HR operations, while an HCM suite adds talent, compensation, planning and often payroll on the same data. Vendors draw the line differently, so compare modules rather than labels.

Should we replace payroll at the same time?

Not necessarily. Bob supports hybrid setups, so you can connect current providers through the Payroll Hub first and move countries to native payroll later, where it is available.

Do we need separate integration middleware?

It depends on your stack. Bob pairs marketplace integrations with a public API and webhooks, and Workday says its native tools need no separate middleware. A large number of custom flows may still justify one.

Take this with you: Decide ownership before connections. Once every data type has one system of record, the integration list almost writes itself.
